I have just finished reading David Allen’s book Getting Things Done, The Art of Stress-Free Productivity. One of the ideas he put forward struck me as being useful for getting and staying organized: Get it off your mind and onto a list.

If you lose sleep at night because you are thinking about something that you need to do or forgot to do, you will benefit from his suggestion to write things down where you can find them. The more you can automate ordinary tasks by turning them into checklists (grocery shopping, travel packing, house maintenance, etc.), the less you have to think about them. Keeping lists of books you want to read, music you want to listen to or places you want to visit allows you to follow up on things you might otherwise forget.

Break large tasks into sub-tasks and schedule them for yourself or delegate them to others. If you don’t assign tasks to someone (including yourself) for completion, they probably won’t get done. If you have a lot of ideas for projects, you might want to use software like BrainStorm (www.brainstormsw.com) to keep them organized.

What about those middle-of-the-night situations? When you wake up, remembering something you didn’t do, write a quick note and go back to sleep. The next day, transfer the note to your paper planner, PDA, notebook or computer worksheet. Keep all your tasks in one system and you will always know where to find them. What have you got to lose, besides some sleepless nights?
